What is pre-fill and how to use it?
Understand what pre-fill is and how to use it to automate logistics quotes, standardize charges, and gain more agility and accuracy in your process.
Pre-fill is a feature developed to automate the completion of information in logistics quotes within the system. Its main objective is to reduce manual work.
You can access it from the left-side menu under "Resources" by clicking on the "Pre-fill" button:

After clicking it, you can select which type of pre-fill you want to configure: export, import, or domestic.

How Pre-Fill Works
Pre-fill allows you to pre-register standard charges that will be automatically applied when responding to a quote. These charges may cover different components of the logistics process, such as:
- Freight cost
- Origin charges
- Destination charges
Additionally, it is possible to define variations based on factors such as:
- Truck type (for road transport)
- Container type (for ocean freight)
- Weight range (especially relevant for air freight)
This customization ensures that the system automatically fills in the most appropriate information for each scenario.
Association of Logistics Partners
Another important feature of pre-fill is the ability to pre-associate strategic partners, such as:
- Carriers/Shipping lines (in ocean freight)
- Airlines (in air freight)
This way, when starting a quote, the system can suggest or automatically populate this information, improving standardization and making the process faster and more efficient.
Monthly Rate Updates
Cargo Sapiens performs an automatic update on the 10th of each month, incorporating into the system local charges publicly disclosed by carriers. This update aims to support users with up-to-date market references. Therefore, an FCL (BID) spreadsheet or an FCL SPOT quote may come with pre-filled charges even if no values were previously set in pre-fill.
However, it is important to note that this functionality is intended as a support tool. The responsibility for validating and ensuring the accuracy of the values used in quotes remains with the logistics provider.
